Virtual document safe storage is a must for many companies. A VDR makes it simpler to share documents, whether with service providers, investors or even internal team members. It also helps to avoid information leaks and other forms of data breaches. This is especially important for businesses that traditionally rely on paper, such as law firms and accounting firms.

What is a virtual document?

A virtual document is one that includes other documents. This allows the structure of the documents to be replicated regardless of how different the documents are. For example, a report might be written in Word but could also include tables in Excel and an Excel or PowerPoint presentation as an appendix. A virtual document permits the document to be broken down into multiple components that can be handled in the same manner as other files.

Components can be removed or added in isolation of the parent document. This means that changes made to component files won’t update the version tree for the document that is the parent. In addition, if the whole assembly of virtual documents is frozen, changes to component files are not automatically updated.

Documents can be watermarked with an unique stamp, which makes it possible to identify anyone who looks at, uses or manipulates the document. This means that if documents are leaked and the culprit is identified, they can be identified and punished accordingly.
